How this website handles personal information.

Who operates this site
pascoesystems.co.uk is operated by Jarrad Pascoe, a sole trader trading as Oakland Construction & Maintenance and as Pascoe Business Systems. He is the data controller for personal information handled through it. The business is not a limited company, so there is no company registration number. You can reach us at [email protected].
What this website collects
pascoesystems.co.uk is a static website. It sets no cookies, embeds no advertising or social trackers and has no login. The one form that sends anything to us is the enquiry form, described below. It does count page views, using Cloudflare Web Analytics: that records which page was requested and roughly where in the world the request came from, and it stores nothing on your device — no cookie, no identifier, nothing that follows you to another site. We cannot tell one visitor from another and we do not build a profile of you.
The enquiry form
When you send the enquiry form on the contact page, what you typed is sent to this website. We store it — your name, email address, organisation, the product you chose and your message, with the time, the page you came from, your IP address and your browser's identification string — so that we can reply and keep a record of the enquiry. A copy is emailed to our office, and a confirmation is emailed to the address you gave.
Before anything is stored, the form is checked to make sure it was not sent by an automated program. That check uses Cloudflare Turnstile: Cloudflare processes information from your browser to make it. A submission that fails the checks is kept separately, not answered, and not emailed to anyone. If you would rather not use the form, email [email protected] directly.
If you email us
When you email us, we hold your message and contact details for as long as we need them to respond and to keep a record of the enquiry. We use them only to reply to you and to discuss whether our software suits your organisation. We do not sell them, and we do not add you to a marketing list without asking.
Server logs
The site is served through a content delivery network, which processes request data such as IP address and user agent in order to deliver pages and protect against abuse. That processing is operational and we do not use it to identify individual visitors.
Why we use it, and on what basis
We use what you send through the form or by email to reply to you and to talk about whether our software suits your organisation. The legal basis is our legitimate interest in answering the people who contact us, and, where you ask us about using one of our applications, taking the steps you have asked for before any agreement is made.
The automated-program check on the form, and the delivery network’s request records, are there to keep the site and the form working and free of abuse. The legal basis for those is our legitimate interest in running a secure website.
Who else handles it
- Cloudflare hosts this website, stores the enquiries sent through the form, runs the Turnstile check and counts page views.
- Resend sends the enquiry email to our office and the confirmation to you.
- Stripe takes payment when an organisation subscribes to one of our applications. This website takes no payments, and card details go to Stripe, never to us.
They handle the information for us, under their data-processing terms, which form part of our agreements with them. Cloudflare and Resend are United States companies, so information may be processed outside the UK; their terms include the safeguards UK law requires for that. We do not sell your information or share it with anyone else, unless the law requires us to.
How long we keep it
We keep an enquiry, and emails we exchange with you, for as long as we need them to deal with what you asked and to keep a record of it. Nothing deletes an enquiry automatically, so if you want yours removed, email [email protected] and we will delete it, unless the law requires us to keep it. The delivery network’s request records are kept by Cloudflare under its own retention rules.
The applications are separate
This notice covers the public website only. It does not describe what happens to data inside any of our applications.
If your organisation uses Pascoes Property, SiteLedger, PBS Accounts, Pascoe Field Service, PBS Policies, PBS Farmstock, PBS Livestock, PBS Shop, PBS Air Con, PBS Care, PBS Delivery, PBS Minutes or Free compliance tools, the handling of data inside that application is governed by the written agreement between us, which is settled before any live data is loaded. Each application is a separate system with its own agreement; using one does not put your data in another.
PBS Care: who is responsible for your records, draft notes, and your right of access
In PBS Care, the practice you or your child see is the data controller: it decides what is recorded and it is responsible for those records. Pascoe Business Systems processes them on the practice’s behalf, to run the software, under our agreement with the practice, and does not use them for anything else.
In PBS Care, a practice shares session notes with a parent or guardian once they are signed off. A draft note is a working record: a guardian can ask to see one, and the practice decides, note by note, at the practitioner's discretion.
That choice does not limit your legal rights. Under UK data protection law you can ask the practice for a copy of the personal data it holds about you or your child — a subject access request — and it must normally answer within one month. Make the request to the practice itself, in writing; it is responsible for the records. If you cannot reach the practice, email [email protected] and we will pass your request to it.
Your rights
Under UK data protection law you can ask what personal data we hold about you and for a copy of it, ask us to correct it, ask us to delete it, object to our using it, and ask us to limit how we use it. To exercise any of these, email [email protected]; we will answer within one month.
If you are unhappy with how we have handled your information, you can complain to the Information Commissioner’s Office (ico.org.uk). We would rather you told us first, so we can put it right.
